KB Mechanical is a Canadian-based mechanical contractor delivering new construction across commercial, healthcare, education, and community sectors — from mixed-use apartment buildings and senior centres through to hospitals, schools, and native community centres.
With over a decade in operation and a full project pipeline year-round, they run a busy, multi-project operation where financial accuracy and system reliability aren't optional.
KB Mechanical had been using a different integration platform to connect Procore and QuickBooks — and it wasn't working. Recurring errors went unresolved for months. A critical incident where a resync pushed labour costs all the way back to February, doubling entries across the board, was the final straw.
The platform also had a fundamental limitation for Canadian construction: it could only handle one tax code at a time. For KB Mechanical — operating across GST-only, GST-plus-PST, and fully exempt scenarios — this was unworkable. PST had to be entered manually on every invoice. Budgets in Procore and P&L reports in QuickBooks were constantly diverging, with no quick way to find out why.
"We were at a point where we were going to give up using Procore," says Project Manager Joshua Bonnell. "It wasn't Procore's fault — the issue was with the integration."
Having previously been burned by broken promises, KB Mechanical had confidence in Interfy as a viable alternative because they clearly explained how they could meet each of the contractor’s requirements.
Complex Canadian tax handling, custom workflow requirements, reliable syncing between Procore and QuickBooks — Interfy addressed each one directly, committed to building what was required, and delivered.
The integration now handles all three tax scenarios automatically. "We explained to Interfy: ‘here's what we need, we realise it's very complicated’. And now it just works," says Joshua.
The OneCore dashboard gives the team precise visibility and control over errors — categorised by type, filterable by week or month, and drillable to the exact invoice or purchase order causing a problem. Issues can be opened directly in Procore, corrected, and resynced in seconds. Recurring patterns can be traced to their source and addressed through retraining rather than repeated manual fixes.
"If you're in Canada and you want to use Procore, you should be using Interfy — between the taxes and the support, you just plug it in and leave it, and it works."
