The Challenge

Before Procore and OneCore, KLM's project financial management ran across Excel and QuickBooks — and the gap between them had to be bridged manually. Invoices were entered by Christine –KLM’s senior project manager, approved, sent to the bookkeeper, and re-entered into QuickBooks. Two people, two systems, the same work done twice.

Month-end meant pulling a job costledger from QuickBooks, reconciling it in Excel, and producing a budget report for the directors — a process that consumed the first 10 days of every month. As KLM pursues significant growth through their Ascent 40 programme, that kind of manual overhead wasn't going to scale. The time to fix it was before it became unmanageable.

The Solution

With OneCore connecting Procore and QuickBooks, the reconciliation work that used to consume the first 10 days of the month is largely gone. When the bookkeeper enters credit card receipts or direct costs in QuickBooks, they push to Procore automatically — and commitments and invoices flow the other direction. Two people doing the same work on opposite sides of the business is now one.

Real-time budget visibility across all projects is another significant shift. As soon as a purchase is entered, it appears in Procore — meaning Christine can see spending activity as it happens rather than waiting for a monthly reconciliation to surface it.

The OneCore dashboard adds a different layer of visibility — one that keeps the integration running cleanly. A five-to-ten minute review each morning catches any transactions that didn't sync correctly before they compound into a month-end problem. Within two months of go-live, Christine was resolving 95% of those issues herself.
